Main Responsibilities

The role is to protect the brand, as well as all licensor and retailer brands, from supply chain risk exposure. The role's purpose is to ensure Supplier Quality & Code compliance to policies and programs including (1) Supplier Code of Conduct; (2) C-TPAT counter-terrorism program, and (3) QMS / ITS -SQP (4) CQS (5) Retailer or Licensor specific.


Code Compliance:

  • Communicate brands and Retailers' COC audit requirements to suppliers while monitoring their compliance status.
  • Review and evaluate 3rd party audit reports, assign grades, &follow up with suppliers on corrective actions.
  • Monitor the certification and improvement status of suppliers across all audit programs (ICTI, SEMTA, EICC, GSV, etc.) and provide training through onsite visits.
  • Perform COC audits, execute C-TPAT & Environmental assessments, and gap analysis.
  • Conduct risk assessments on new and existing suppliers and provide recommendations to business stakeholders.
  • Implement and monitor the licensor MA/FAMA policy.
  • Maintain a supplier compliance database and prepare analysis/tracking reports for internal and external customers.
  • Monitor supplier Continuous Improvement Program, including onsite support and supplier training programs.
  • Communicate with the correspondent company's regional compliance teams and key retailers/customers.
  • Implement and monitor all compliance policies, including COC, CTPAT, Environmental, and sustainability.
  • Other tasks that are assigned by the supervisor.


Quality Compliance:

  • Support supplier QMS / ITS-SQP activities, identify & follow up on the area for improvement.
  • Conduct on-site factory assessments for new suppliers.
  • Conduct on-site & remote Quality / Technical / Retailer Specific audits.
  • Work on and monitor HMK chemical management program with suppliers.
  • Support the CQS certification & audit program (QMS aspect).
  • Prepare a summary/report on quality aspects.
  • Provide quality training to suppliers and internal staff.
  • Frequent travel to offices and factories in China. Potential for travel to South-East Asia.
  • Ensure all products procured conform to customer requirements and all products at retail are free of quality issues.
  • Other tasks that are assigned by the supervisor.


Environmental & Sustainability:

  • Supports the execution of the sustainability strategy and paper policy.
  • Ensure products are produced from known sources (i.e. from fibers from certified or well-managed, non-controversial forests).
  • Supports the implementation of these policies within China and Southeast Asia and develops processes to ensure compliance.
  • Supports Asia’s supply chain energy management program, which includes energy and carbon footprint reduction within the supply chain. This program delivers both environmental improvements to the communities in which our suppliers reside, as well as energy cost savings. This includes supporting suppliers to identify opportunities to reduce their environmental impact.
  • Supports the collection of sustainability data from suppliers (including but not limited to carbon emission, green energy, energy savings, sustainable product materials, paper usage, etc.).
  • Supports Suppliers to complete their data submissions accurately and on time through an online platform and ensures their sustainability performance can meet the company’s sustainability strategy & goals and customers’ requirements.


Internal & External Relationships:

  • Build transparent and trusting relationships with suppliers to enable the development of their internal compliance systems and procedures.
  • Ensure the company's code of conduct & quality requirements are consistently met, as well as any requirements of retailers and licensors. Stable audit results are critical to supply chain continuity and an enabler to new business growth and development.
  • Develop relationships with 3rd party audit firms or NGO’s to ensure understanding of changing industry best practices and certification requirements.
  • Support relationship development in Asia with compliance personnel at key licensors and retailers (e.g. Disney, LEGO, Walmart, Target, etc.).

Requirements

  • A minimum of 3 years of experience in ethical compliance.
  • Proficiency in English; Cantonese, and Mandarin proficiency is advantageous.
  • Proficient in MS Office and data analysis software.
  • Willingness to travel frequently within Vietnam.
  • Results-oriented and a hardworking team player.
  • Ability to build strong relationships with both internal and external business partners.
